PRIVACY POLICY: GymMap

This privacy policy describes how GymMap (Sole Trader) processes personal data of its mobile app users and how we handle publicly available third-party data displayed in the app. We comply with the EU General Data Protection Regulation (GDPR) and applicable national legislation.
1. Data controller and contact information

2. Data processed and purposes of processing
We process only the data necessary for providing the service, within the following categories:
A. User profile and professional information
Data: Username, email address, age, gender, hobbies and professional title (e.g. PT, massage therapist, naprapath, etc.).
Purpose: Creating a user account, maintaining a profile and enabling visibility for professionals in the service.
Legal basis: Contract (terms of service).
B. Activity and voluntary location data (Special categories of data)
Data: Gym check-ins made by the user, training data and performance records.
Purpose: Finding training partners and displaying activity on the map.
Legal basis: Consent. As gym visits may be interpreted as data relating to health status, we request the user's explicit consent for the processing of this data.
Retention period: A check-in is visible on the map for a maximum of 24 hours from the time it was made, after which it is removed automatically.
C. Communication (Chat)
Data: Chat messages between users.
Purpose: Enabling communication between users.
Legal basis: Contract (core feature of the service).
D. Publicly available gym data
Data: Gym names, addresses and website links collected from publicly available sources.
Purpose: Displaying gyms on the app's map for users.
Legal basis: Legitimate interest. Compiling publicly available location data into a directory is a widely accepted purpose that serves both users and gyms alike.
Gym's right: If a gym's listing contains incorrect information or personal data, the gym may request correction or removal by contacting info@gymmap.fi.
3. Pin management model and professional announcements
In the GymMap app, every gym appears on the map as a "pin". GymMap owns all pins and defines the terms of their use. Pin management is determined as follows:
Free pin
All pins are free by default, regardless of whether the pin's link leads to a GymMap internal page or to the gym's own website. In a free pin:
- Independent professionals (PTs, massage therapists, naprapaths, etc.) may post announcements in connection with the location. This is based on publicly available location data and constitutes normal competitive activity.
- Users may search for training partners at the location.
- Announcements are valid for a maximum of 24 hours, after which they are removed automatically.
Gym-controlled pin 👑 (Verified Partner)
A gym may acquire control of a pin by entering into a monthly agreement with GymMap. In this case:
- The gym administrator gains the authority to decide which professionals may advertise their services in connection with the pin.
- The pin's website link always directs users to the gym's own website.
- GymMap reserves the right to move or remove new external professional announcements from Verified Partner locations once the partnership agreement has been activated.
- Training partner search remains free on all pins and is not subject to the gym's control rights. Users always have the right to search for a training partner at any location.
- Announcements made by professionals before the pin transferred to gym control are valid for a maximum of 24 hours from the original time of posting, after which they are removed automatically.
4. Special terms for professionals
Geographic visibility: A professional may advertise their services in connection with any free or linked pin. Advertising is based on the use of publicly available location data and constitutes normal competitive activity, regardless of whether the pin contains a link to a gym's website or not.
Verified Partner pins: If a professional wishes to advertise their services in a pin controlled by a Verified Partner gym, they must obtain approval from the gym administrator. In this case, the professional's basic details will be shared with the gym administrator for approval purposes.
Use of data: We use professional data only for internal display of profiles and to make services discoverable within the app. All actual commercial activity takes place outside the app.
5. Data retention and security
User account data: We retain data for as long as the user account is active.
Check-in announcements: Visible on the map for a maximum of 24 hours, after which they are removed automatically.
Professional announcements: Visible on the map for a maximum of 24 hours from the time of posting, after which they are removed automatically.
Deletion: Users may delete their account in the app settings, upon which their data will be permanently deleted unless retention is required by law.
Security: Data is stored on secure servers within the EU/EEA. We do not use third-party analytics tools that track users outside the app.
6. Disclosure of data
Verified Partner gyms: A professional's basic details may be shared with a Verified Partner gym as described in section 4, if the professional is seeking visibility in that pin.
Other users: The user's username, profile descriptions and location announcements are visible to other users of the app for the duration of the announcement.
Authorities: We disclose data only on the basis of a mandatory legal requirement.
7. User rights
You have the following rights under the GDPR: right of access, right to rectification, right to erasure, right to withdraw consent, and the right to lodge a complaint with the data protection authority.

By accepting these terms of service, you agree to comply with them when using the GymMap app (hereinafter "the Service").
1. Description of the service
GymMap is a fitness community and digital platform that helps users find training partners, fitness venues and sports and wellness professionals (such as Personal Trainers, massage therapists, naprapaths and chiropractors).
GymMap owns all pins displayed in the app and defines the terms of their use. Gym data has been collected from publicly available sources and is displayed on the basis of legitimate interest.
2. User obligations and acceptable content
- The user is responsible for the accuracy of the information in their profile.
- The chat feature is intended for respectful and sports-related communication. Harassment, inappropriate language or offensive content will result in immediate account suspension.
- The user is solely responsible for their own safety when arranging meetings with other users.
3. Pin management model
GymMap owns all pins displayed in the app. Pin management is determined as follows:
Free pin

Training partner search
Training partner search is available on all pins regardless of the pin's management status. A gym does not have the right to restrict users from searching for training partners, even under a Verified Partner agreement.
4. Professionals and marketing
Location-based advertising
A professional has the right to target their announcements to any free pin on the basis of publicly available location data. This is permitted regardless of whether the pin contains a link to a gym's website or not — the display of a website link does not restrict a professional's right to advertise.
Verified Partner pins
If a gym has entered into a monthly agreement with GymMap, the gym administrator gains exclusive authority over that location with regard to professional announcements. In this case, the professional must contact the gym directly to agree on potential visibility.
The pin's status can be verified in the app:
- Verified Partner 👑→ gym-controlled; the professional must seek approval from the gym.
- Free pin → advertising permitted without separate approval.
Independence and trademarks
The professional is an independent operator. Announcements must not use the gym's trademark or logo in a way that creates a false impression of an official partnership.
Contractual relationships and physical activity
The professional is solely responsible for obtaining all necessary permits and agreements with the gym owner if they conduct activities physically on the gym's premises. GymMap is not a party to these negotiations.
Limitation of liability
GymMap operates solely as a digital advertising platform. GymMap is not responsible for payments, service quality, cancellations or any disputes between professionals, clients or gyms.
5. Location announcements (Check-in)
The user understands that by voluntarily checking in at a gym ("check-in"), their profile and username will be visible to other users at that location on the map for a maximum of 24 hours, after which the announcement is removed automatically.
6. Intellectual property rights
All rights to the app's name, logo, pins and technical implementation belong to GymMap. The user retains rights to their own content (such as profile pictures) but grants GymMap the right to display them in the app for the purpose of providing the service.
7. Limitation of liability
The service is provided "as is". GymMap is not responsible for technical disruptions to the app, encounters between users, digital competition between advertisers or legal relationships between gyms and professionals.
8. Account deletion and amendments to terms
The user has the right to delete their account at any time. GymMap reserves the right to remove a user who violates these terms of service, gym rules or applicable law. GymMap may update these terms. The current terms are always available in the app menu.
